How to manage online reviews with rateshout

Let's get your customised reviews app up and running!

Log in to RateShout

  • Enter your email and password, exactly as they appear in your welcome email

  • Click "login"

If you can't remember your password, click "forgot password" to resend, or contact us here.

Get to know the menu

First, open your menu:

On desktop, you'll immediately see your menu in the left sidebar. On mobile, click the hamburger menu (three horizontal bars) in the top-right corner.

Reviews

Check, filter and reply to your reviews on your integrated review platforms.

Connect your review platforms

Navigate to Settings -> Integrations

In this example, we'll use Google Reviews

  • In the RateShout settings, under Google, click "Integrate" -> "login access"

  • Log in to your business Google Account

(The one you use to manage your Google Business Profile)

  • Follow the prompts, allowing RateShout access

DONE!

NOTE: If you don't have your Google Business login details, you can choose Public Access instead, but you won't be able to reply directly from the app.

You can change these settings later!

Managing your online reviews

Head to the top menu item: "Reviews."

Here, you can read your latest public reviews and direct feedback, and respond accordingly.

Review Types:

  • Thumbs up / down: Private feedback (not published)

  • Platform logo (e.g. Google): Public review (published)

Options:

✉️ Copy email or phone details (icons next to stars, if supplied by customer)

Reply publicly on your review platform (recommended!)

Reply Privately via SMS or email (if supplied by customer))

☑️ Mark as Replied on your dashboard

👁️ Remove from widget: Ensure this review won't appear on your website

📺 Share to Social (requires connected social media accounts in "Settings.")

🗑️ Delete from your dashboard

#️⃣ Reply with AI: If enabled, you can have an AI reply for you!

NOTE: Search engines LOVE conversations, and reviews with a reply are considered as conversations.

  • Businesses with a lot of conversations (reviews with replies) tend to rank higher in local searches

  • Therefore, it is highly recommended that you reply to ALL public reviews!

How to request reviews

Navigate to "Get Reviews."

The top ribbon has 4 icons: SMS, Email, WhatsApp and QR code.

Email and SMS

Send email or SMS review requests to recent customers.

  • Check your remaining monthly send limit the top-right

  • Input guest names and email / phone numbers

  • Click "Add Line" to send multiple requests at once

  • Upload a CSV of existing clients for a bulk-request

  • Personalise your review request using dynamic variables (mind your character limit!)

  • Automate review reminders

  • Check past review requests

WhatsApp

The same as email and SMS, but without send limits.
NOTE: This requires you to have a business WhatsApp account.

QR code

Download your unique QR code for use on print-outs, receipts, flyers or packaging.

Do you offer deliveries?

Some of our most successful clients have their QR code and a brief message, like "scan to leave a review," printed on takeaway bags, or in flyers inside their delivery boxes.

Customise your reviews portal

Jump over to "Review Link."

This is where you can set the page your customers see when they leave you a review. This page has some powerful features if you use it well!

Edit Review Link: If you are going to do this, it is recommended that you edit the link ONLY ONCE, so you don't have to change all your tap-cards and printed QR codes!

Customise Link Preview: This is how your link appears online, for example in emails or socials.

Edit Landing Page:

⭐️ Enable (Recommended)

  • If your reviewer leaves a positive review, they are prompted to publish the review.

  • If they leave a negative review, they are prompted to leave feedback (private).

👍 Disable (Not recommended)

  • Your reviewer sees their options for review platforms.

  • All reviews are public.

Desktop Image:

Set an image for the review page, which is only visible to desktop reviewers.

Edit:
In the "edit" drop down, you can select how each page of your review portal will look. they are:

1 - Filter (the main landing page)

2 - Positive experience (if someone has chosen to leave a positive review)

3A - Negative experience (someone is being redirected to send feedback)

3B - Private Feedback (Someone has chosen to leave feedback)

Logo:
Upload your logo (or any image you choose to display)

Call to Action:
A message to your customers, requesting a review or suggesting an action.

5 stars: If you have the landing page enabled, you can change the threshold for leaving public reviews. For example, if you want any rating below 4 stars to be sent as feedback, but 4 & 5 star ratings to be published, set this to 3 stars.

Powered By:
If you leave this toggled on, our logo will be shown on the landing page. Some plans allow this to be toggled off.

Analytics dashboard

Your analytics dashboard is set to show your stats from the past week. You can change this using the drop-down in the top-right corner.

Handy tooltips explain each window and stat - just hit the "?" icon for more!

Automate your online review requests

Automations are powerful tools, allowing you to connect your existing business tools and automatically send review requests to your customers.

For example, if you use QR code ordering, and your POS captures their emails, you can connect it here to send out a review request by email.

Automations can be complicated. You might need a web developer or API expert to help you out, if you aren't used to using automation tools like Zapier. You can also contact us if you get stuck!

NOTE: The automations page doesn't currently work in Safari. Please use Chrome or FireFox if possible!

Displaying your positive reviews online

The "Widgets" page is a great way to showcase your best reviews on your website. Highlighting reviews on your site is great for building trust, and a well-known tool used by thousands of online businesses!

  • The top menu bar gives you methods for how to display your reviews, and previews each option.

  • Use the "filters" to set what info is displayed and which reviews to allow.

  • The "integrations" toggle to switch between displaying private feedback or public reviews

  • Once everything is set, copy the script of the widget and place it as HTML code on your home[page (or anywhere else you want to show off!)

If you aren't familiar with coding, you can safely give this piece of script to your web developer.

Sharing reviews to social media

A simple but powerful technique! Sharing reviews to social media generates backlinks to your website, is a cheap and easy way to generate social media activity, increases brand visibility and improves trust.

Navigate to "Settings" -> "Social"
Simply connect your accounts in the same way that we connected your reviews platform: Log in to your social accounts, then click "connect " in the RateShout app from the same device.

Now set the post template options, using the pre-built tags ("name," "source," etc) and check the preview.

If everything looks good, head back to your "Reviews" page. Next to your reviews, you'll see a camera icon 📺. Tap that to share this review to social media, using the template you created!

Other settings

Locations:

If your plan allows, you can add locations here. Each location can be edited independently, allowing for multiple brands, social media integrations, reviews accounts, etc.

Business Users:

Add staff, web developers or marketing agents to manage your RateShout app for you. You can even allow them to use the app in other languages!

(NOTE: You may need to delete and re-add your business users if you make a mistake - not all settings can be edited later).

Notifications:

Set the email where you want to receive feedback and replies to review requests.

SMS Service:

If you have a Telnyx or Twilio account, you can add it here for increased SMS deliveries.
